What You Need to Know Before Booking
Payment & Paperwork
Every booking runs through a secure online invoice, payable by card or ACH. A 30% non-refundable deposit holds your date, and the balance is due 7 days before the event. If your school has its own approval process, start early so everything clears before those dates.
Setup & Logistics
We arrive 60 to 90 minutes before students are admitted. Setup is complete and tech is tested before the doors open. We coordinate load-in timing directly with the venue contact — school gym, hotel ballroom, or event hall. You give us one contact to coordinate with and we handle the rest.
During the Event
Our attendant manages the booth and the student flow all night. No babysitting needed from school staff. We keep it professional and keep the line moving. For the 360 booth, we run safety briefings for each group before they step on the platform.
Teardown
Full teardown after your contracted window ends. We coordinate the exit with venue staff so the space is clear when the venue needs it. You are not chasing vendors out of the building at midnight.

No. Our attendant runs the booth for your whole event — managing the line, running a quick safety briefing for each group before they step on the platform, and keeping things professional. Chaperones are welcome to keep an eye on it, but there’s nothing for them to manage.
Setup typically takes 60 to 90 minutes depending on the venue. We coordinate directly with your venue contact or school staff on load-in timing, power access, and floor placement. Setup is complete before students arrive. You do not need to manage our setup logistics — that is our job.
A 3-hour window runs about 40–60 sessions. Each session fits 1 to 4 students, so how many get a turn depends on group size. For a large prom with 300+ students, we recommend 4 hours. We will advise on the right package for your headcount on your call.
Spring prom dates in April and May are the most competitive. Book by January if possible. If your date is flexible, booking early also gives you more time for overlay design approval and your school’s own paperwork. We are now booking this school year and next.
